Custom Order & Artwork Policy
Thank you for choosing R & F Designs. To ensure a smooth ordering process and the highest quality results, please review the following policies regarding custom orders, artwork, and customer-supplied items.
Custom Order Process
All custom orders are produced according to the specifications approved by the customer.
Before production begins, customers are responsible for reviewing and approving:
- Design layout
- Spelling and grammar
- Colors
- Sizes
- Placement of artwork
- Quantities ordered
Once approval has been given, R & F Designs is not responsible for errors that were present in the approved proof.
Artwork Requirements
Customers may provide their own artwork, logos, images, or design concepts.
By submitting artwork, the customer certifies that they have the legal right to reproduce and use the submitted materials.
R & F Designs is not responsible for copyright, trademark, licensing, or intellectual property violations related to customer-supplied artwork.
We reserve the right to refuse any design that may violate copyright laws, contain offensive content, or conflict with our business values.
Design & Setup Fees
Some projects may require:
- Graphic design services
- Artwork cleanup
- Vector conversion
- Logo recreation
- Embroidery digitizing
Applicable design or digitizing fees will be disclosed before production begins.
Unless otherwise stated, digitizing fees apply only to the specific design for which they were created.
Embroidery Digitizing
Embroidery requires artwork to be converted into a stitch file.
A one-time digitizing fee may apply for new embroidery designs.
Digitized files remain the property of R & F Designs LLC unless otherwise agreed upon in writing.
Customer-Supplied Items
To ensure the highest quality results and maintain consistency across all orders, R & F Designs primarily decorates garments and products sourced directly through our approved suppliers.
At this time, we generally do not accept customer-provided apparel, hats, bags, or other items for printing, embroidery, engraving, or customization.
Exceptions may be considered on a case-by-case basis and must be approved prior to acceptance.
If R & F Designs agrees to decorate a customer-provided item, the customer acknowledges and agrees to the following:
- All work is performed at the customer's risk.
- R & F Designs cannot guarantee decoration results on customer-supplied items.
- We are not responsible for manufacturing defects, fabric inconsistencies, dye migration, material failure, or compatibility issues.
- We are not responsible for damage that may occur during the decoration process, including but not limited to embroidery, heat pressing, printing, engraving, or handling.
- If a customer-provided item is damaged, lost, or determined unsuitable for decoration, liability shall be limited to the replacement cost of the blank item only, if applicable.
- R & F Designs is not responsible for sentimental, collectible, one-of-a-kind, discontinued, or irreplaceable items.
By providing an item for customization, the customer accepts these terms and assumes all associated risks.
Color Matching
While we strive for accuracy, exact color matching cannot be guaranteed due to:
- Screen variations
- Ink and thread limitations
- Material differences
- Manufacturer variations
Minor color variations are considered normal and are not grounds for refund or replacement.
Apparel Sizing
Customers are responsible for selecting garment sizes.
Sizing charts are provided when available.
R & F Designs is not responsible for garments ordered in incorrect sizes after customer approval.
Production Timeframes
Production timelines are estimates and may vary based on:
- Order size
- Product availability
- Artwork approval delays
- Supplier delays
- Seasonal demand
Estimated completion dates are not guaranteed.
Abandoned Orders
Completed orders not picked up within 60 days may be considered abandoned.
R & F Designs reserves the right to dispose of abandoned items without refund.
Promotional Photos
Unless otherwise requested in writing, R & F Designs reserves the right to photograph completed work and use those images for marketing, social media, website galleries, and promotional purposes.
Customer contact information will never be shared without permission.
Acceptance of Policy
By approving artwork, placing an order, submitting payment, or providing items for decoration, the customer acknowledges and agrees to the terms outlined in this policy.
